Office Manager/Administrative Coordinator-HYBRID-FT

An established commercial and residential plumbing company in Baltimore is seeking to hire a Full-time Office Manager/Administrative Coordinator to join its team.

Responsibilities:

  • Answer phones and take messages. Schedule inspections and check inspection status.
  • Process permits and pay for them on permit portals.
  • Fleet and EZ pass management.
  • Manage material processes, including requesting quotes, ordering materials, maintaining material lists, understanding lead times and availability for fixtures and non-stock items and all associated planning of material needs, reviewing invoices and job cost comparison.
  • Verify warranty eligibility and request and track warranty replacements.
  • Create and update proposal templates.
  • Will work closely with the Residential Plumbing manager and the residential plumbing technicians, scheduling their day and billing out their calls.
  • Review builder PO’s and process to include collecting updated POs for add-ons and missing items for contract projects.
  • Quote add-on options for contracts and maintain updated option sheet.
  • Set up and maintain jobs in our software to include adding notes & job documents and verify that plans are construction set prior to job start.
  • Support Project Manager, Estimator and General Manager on other tasks as assigned.
  • Create labor charts for subcontractors and make sure all subs are compliant with our sub requirements.
  • Review daily log from Tech and follow-up with techs and builders.

  • Maintain good attendance and punctuality.

Pay: DOE; Salary plus bonus potential.

Schedule:  Full-time; Hybrid.
