A nonprofit organization serving Baltimore neighborhood communities has an immediate opening for an Office Administrator.
This position’s primary function and focus is to provide administrative support to the Director of Programming, Director of Operations, Center Director, and other team members, including meeting management, preparation of materials and general assistance that aims to enable senior management to work more efficiently. The Office Administrator will also support office functions and operations as needed. The position requires flexibility, excellent interpersonal and communication skills, trustworthiness in confidential matters, and the ability to work well with all levels of management and staff, as well as members, Board members and other stakeholders. This position reports to the Director of Programming.
In this role, you will:
- Ensure that the members are given high quality service and assistance when needed
- Prepare and edit documents, presentations and spreadsheets as directed
- Assist with agency operational needs, including copying, filing, obtaining signatures, ordering office supplies, preparing and/or assembling meeting materials, printing flyers, mailing and similar tasks that facilitate smooth operation of agency matters
- Maintain programming calendars to track events and instructor absences
- Assist with set ups for programs, board meetings, and special events as needed
- Submit invoices, track checks to ensure payment
- Support processing of receipts, credit card documentation and coding of expenses
- Make phone calls/emails to confirm speakers and instructors, security for rentals and contractors
- Cover front desk and fitness center as needed
- Start virtual zooms, upload virtual center videos in our software for various classes
- As requested, takes, and prepares minutes of Board and Committee meetings (requiring some early morning or evening hours)
Qualifications:
- 1-3 years minimum administrative support experience at the executive level
- Experience supporting multiple professionals
- Customer services experience
- College degree preferred
- Advanced proficiency in Word, Excel, Outlook, PowerPoint, Canva, Adobe PDF
- Ability to work well with older adults
- CPR and First Aid Certification required (training will be provided if needed)
- Ability to work on his/her feet as needed

Salary: $35,000 – $40,000 annually, salary commensurate with experience. (32 hours weekly)
