Executive Assistant-FT

The world’s premier institution dedicated to improving the lives of children and young adults with care and research focused on pediatric developmental disabilities and disorders of the brain, spinal cord and musculoskeletal system is seeking a Executive Assistant to provide executive/administrative support to the Center for Autism and Related Disorders (CARD) senior clinical leadership team. This position will support meeting logistics, take notes, coordinate department events, and schedule/provide onsite logistics for international and VIP patient visits as well as applicants being considered for positions that are recruited by CARD’s senior clinical leadership team. The incumbent will interface with the public and internally with other departments/programs.

Responsibilities:

  • Respond to calls and visits from patients, their families, faculty, staff, business associates, and the public at large. Determine the urgency and priority of the situation and respond appropriately.
  • Manage calendars, make travel arrangements, and prepare travel advance and expense reports for clinical leadership team.
  • Maintain files and ensure security of confidential information (e.g., patient medical records in EPIC, staff and legal information, financial information, etc.).
  • Compose correspondence, draft memos, receive and transcribe dictation and meeting minutes, proofread materials, and create Center for Autism and Related Disorders (CARD) informational presentations.
  • Perform research, create reports and presentations, and work on special projects as assigned.
  • Coordinate site visits for VIPs, foundation representatives and donors, collaborators, professional peers, and applicants/job candidates.
  • Maintain inventory of office supplies, order supplies as needed, and maintain related expense record documentation.
  • Maintain established Institute department policies and procedures, including quality assurance, safety, environment of care, and infection control.
  • Coordinate and provide back-up assistance with the other department Administrative Assistants to ensure continuity of support for all members of CARD’s senior leadership.
  • Provide orientation support to newly onboarded members of CARD’s senior leadership.
  • Prepare site and manage logistics for special events as needed.
  • Maintain and update Curriculum Vitae (CVs) for CARD’s senior leadership as needed.

Qualifications:

  • High School diploma or equivalent required.
  • Bachelor’s degree highly preferred.
  • Minimum four years of previous administrative support experience is required, preferably in an executive, hospital, or academic environment.
